Job titles and permissions

Permissions attach to a job title, not to a person. Change the title and everyone holding it changes with it.

How it fits together

Employee → holds one or more job titles → each grants permissions

An employee with two titles has the union of both.

Common gates

Actions typically restricted to managers:

  • Voiding a sent item
  • Refunding a payment
  • Reopening a closed check or order
  • Adjusting a tip after payment
  • Changing the server on an order
  • Opening the cash drawer without a sale
  • Exiting the POS to the device's home screen

Changing what a title can do

In Management → Staff, open the job title and adjust its permissions. The change applies at the next sign-in on each till.

Make a new title rather than widening an existing one

If one person needs one extra capability, give them a second title carrying just that capability. Widening Server to solve one person's problem gives it to every server.

Scope

A permission applies where the title applies. A title held at one restaurant does not grant anything at another — relevant if you run multiple locations with shared staff.

PINs are identification, not authorisation

A PIN identifies who is at the till. It does not by itself authorise a gated action: the person whose PIN is entered must hold the permission.

A manager PIN prompt is not a confirmation dialog

Where the till asks for a manager PIN, it is asking who is approving this, and the action proceeds on a valid PIN. Treat it as the approval itself, not as an "are you sure".
