End of day
Closing out the day on the POS does three things: it gives your manager a snapshot of what happened, it locks the cash drawer count for the books, and it lines up tips for distribution. Run it nightly, even on slow nights — gaps make reconciliation painful later.
The POS exposes end-of-day actions under the Manager Activities and Cash Management sections of the home screen.
1. Settle open checks
Before you do anything else, make sure no checks are still open. From the home screen, tap Find Checks and filter to Open. Any checks still on the list need to be:
- Settled — paid and closed normally.
- Voided — cancelled (with a void reason and a manager PIN).
- Transferred — moved to a manager's name to chase up tomorrow.
If you close out the day with open checks, those sales don't appear on the daily report and they roll into the next business day's totals. This is a common source of "the numbers don't match" frustration the next morning.
2. Adjust tips (if applicable)
If your business runs tip-adjust (servers enter tips at the end of the night based on signed receipts), do it now:
- Open Manager Activities → Time Cards to see who worked.
- Open Orders Hub and filter to today's card sales.
- For each check, tap Add Tip and enter the amount written on the customer's signed receipt copy.
Tips are stored on the order so they show up correctly on the employee's tip report and on the next settlement batch.
3. Run the cash drawer count
Each cash drawer needs to be counted before it closes. From the home screen, tap Cash Drawers.
For each drawer:
- Choose Count to start a blind count (the POS doesn't show the expected total until after you enter your number, so the count is honest).
- Enter the count by denomination — twenties, tens, fives, ones, plus coin.
- Submit. The POS compares your count to the expected balance (starting bank + cash sales − pay-outs − cash refunds) and shows the variance.
A small variance ($1–$2) is normal. Anything larger should be investigated — re-count, look for a missing pay-out slip, or check whether a sale was rung as cash by mistake.
4. Cash drop / safe count
If your business uses a safe drop, do it after the drawer count:
- Open Cash Management → Cash Deposits.
- Enter the amount being moved from the drawer to the safe (or to the bank deposit bag).
- Print the deposit slip if your business policy requires a paper copy.
The deposit appears on the day's report as a separate line so the next morning's opening team can verify the safe.
5. Run the daily sales report
From the home screen, open Sales Reports → Daily Sales. The report shows:
- Net sales — Sales after discounts and comps but before tax.
- Tax collected — Broken down by tax rate.
- Tips — Total tips and tips per employee.
- Payment mix — Cash, card, gift card, etc.
- Voids and comps — With reasons and approving managers.
- Cash variance — From the drawer count above.
Print or email a copy to whoever owns the books. Your manager can see the same numbers on a laptop in Management → Reports → Sales Summary, with more dimensions available there.
6. Tip distribution
If your restaurant pools or shares tips:
- Pool calculation is configured in Management → Payroll → Tip Pools.
- The pool runs on the time entries from today's shifts, so accurate clock-ins and clock-outs are critical.
- Tip-out amounts appear on each employee's shift summary the next time they sign in to the POS.
For payroll setup and tip-pool rules, see the Payroll section.
7. Run "Close Out Day" (optional)
Some businesses run the Close Out Day action from Manager Activities to formally close the business day. This:
- Locks the day's sales so no new orders can be back-dated.
- Triggers any end-of-day batch settlements with the payment processor.
- Clears the home screen for the next day's opening crew.
This is optional — if you don't run it, OrderUp closes the day automatically at the cutoff time configured for your location.
Common reconciliation issues
- Cash short. Re-count. Check for pay-out slips that didn't get logged. Look for "ring up as cash" errors on card sales.
- Tip totals don't match. Compare the tip report with the credit card batch. A common cause is tips entered on the wrong order — search the order number from the receipt.
- Sales total off by a small amount. Check the void log for an item that was rung up, voided, but the kitchen made it anyway.
- A check shows "open" the next day. Someone left without closing it. Open it from Orders Hub, settle or void it, and add a note. The variance shifts to today.
